For valid Medicare card holders, most services relating to your general health are billed directly to Medicare.

Please note that certain services including medical assessments/medical reports, surgical procedures and some vaccinations may incur an out-of-pocket cost.

This policy outlines how Greenhouse Medical Coolalinga utilizes and manages electronic communications, including email, Short Message Service (SMS), and website contact forms, to ensure the privacy, security, and safety of your health information.

2. Urgent Medical Matters

⚠️ CRITICAL NOTICE: Electronic communication is not to be used for urgent medical matters or emergencies.

If you are experiencing a medical emergency, please call 000 immediately. For urgent but non-emergency medical queries, please contact the clinic directly by telephone at 08 7999 7499.

3. Communication Channels

  • Telephone: This remains our primary and safest method for booking appointments, discussing clinical matters, and urgent communication.
  • SMS Reminders: We utilize SMS to send appointment reminders, health recalls, and administrative notifications. If you do not wish to receive SMS communications, please notify our reception staff.
  • Email & Website Forms: While we maintain an email address and website forms, these are generally reserved for non-clinical, administrative enquiries (e.g., general practice hours and feedbacks).

4. Risks of Unencrypted Email

Our practice takes reasonable steps to protect the privacy of your health information. However, patients must be aware that standard email is not a secure form of communication.

Risks include:

  • Emails being intercepted or read by unintended third parties.
  • Emails being sent to incorrect addresses due to human error.
  • Delivery delays beyond the control of the practice.

5. Clinical Communication via Email

As a rule, our clinical staff will not initiate or conduct clinical consultations, send prescriptions, or provide test results via standard email unless specific conditions are met:

  1. Informed Consent: The patient explicitly requests email communication and acknowledges the security risks.
  2. Identity Verification: The practice team has verified the recipient’s identity and email address.

6. Privacy and Documentation

Any electronic communication received from a patient that contains clinical information will be imported directly into your secure electronic health record. All communications are managed in strict accordance with our Privacy Policy and relevant healthcare privacy legislation.
